Build your own CRM in Notion with Claude

Off the shelf CRMs cost thousands a year. Here is how to get Claude to build one inside Notion that fits the way you already sell, for nothing.

Short answer: you do not need to pay for a CRM. Build one in Notion in an afternoon with Claude: describe how you actually sell, let it build the database and views to match, and keep it on the free plan. It fits your pipeline instead of making you fit theirs.

Most CRMs charge you thousands a year, and then make you bend your process to fit their fields, their pipeline stages and their pricing tiers.

You can build one in an afternoon that fits how you actually sell. Notion holds it, Claude builds it, and it costs nothing on the free plan for most small teams.

Step 1: Sign up to Notion

The free plan is plenty for one person or a small team. You do not need a template, and you do not need to set anything up. An empty workspace is the right starting point.

Connect Notion to Claude in Connectors. That is what lets Claude build inside your workspace instead of just telling you what to do.

Step 2: Describe how you actually sell

This is the whole job. Not "build me a CRM", but how your business works. Claude builds what you describe, so a vague description gets you a generic CRM, which is the thing you were trying to get away from.

Write it out in plain language first. Your stages, your fields, what you need to see at a glance.

Build me a CRM in my Notion workspace.

How I sell:
- Leads come from Instagram DMs, referrals and my website form
- Stages: new enquiry, call booked, proposal sent, won, lost, nurture
- I need to know: name, business, where they came from, what they want, deal value, next step, next step date
- I follow up every 5 days until they answer

Build it as a database with those fields and stages. Add views for:
1. Everything due today or overdue
2. Proposals out, sorted by value
3. Won this month

Set it up, then tell me what you built and what you assumed.
Worth knowing. That last line matters. The assumptions it lists are where your process and its guesses differ, and that is what you correct before you put real data in.

Step 3: Correct it once, properly

Open what it built and use it for ten minutes with two or three real deals. You will immediately see what is missing. Tell Claude in the same conversation.

Three changes:
1. Add a field for how they found me, as a dropdown with my three sources
2. The follow up date should default to 5 days after the last contact date
3. I want a view that shows anyone I have not spoken to in 14 days

Make those changes and show me the result.

Do that once and you have a system shaped around your business rather than around a software company's idea of one.

Step 4: Connect it to the rest of your work

The CRM is only useful if things land in it without you typing them. Because Notion is connected to Claude, you can ask for that directly.

When I forward you an enquiry email, add the person to the CRM as a new enquiry, fill in what you can from the email, and set a follow up for 5 days from today.

From there it grows as you need it. No developer, no licence, no lock in.

Key takeaway

A CRM should fit how you sell. If you can describe your process in plain words, Claude can build that in Notion for nothing.

Frequently asked questions

Is the Notion free plan really enough?

For one person or a small team, usually yes. You hit limits with large file uploads and some sharing features, not with a CRM database.

What if I already have a CRM full of data?

Export it to CSV and ask Claude to import it into the new structure. Check twenty rows by hand afterwards. Do not delete the old system until you have run both for a month.

Will it break when Notion changes?

It is a normal Notion database, so it behaves like any other. Nothing custom to maintain.

Can my team use it?

Yes, share the Notion page as you would any other. Paid Notion plans matter once you need finer permissions.
